TERMS AND CONDITIONS
Please read these Terms and Conditions (“Terms”, Terms and Conditions”) carefully before using Domestic Cleaning 4u or www.domesticcleaning4u.com (“Domestic Cleaning 4U”, “us”, “we” or “our”) our services.
Your access to and use of our services is conditioned on your acceptance of and compliance with these Terms and Conditions.
These Terms apply to all visitors, users and others who access our service.
By accessing or using our service is you agree to be bound by these Terms, if you disagree with any part of these terms then you may not access our services. Domestic Cleaning 4u provides cleaners on a regular or occasional basis for private residences.
We pride ourselves in providing our clients with an impeccable standard of service. Many of our clients have been satisfied with our service since the very beginning and many have recommended our service to their friends and relatives. The cleaners and ironers are selected by Domestic Cleaning 4u are self-employed and of various nationalities; professional cleaners carefully selected, vetted, and insured.
Domestic Cleaning 4u provides Cleaner on a regular or occasional basis for private residences.
We pride ourselves in providing our clients with an impeccable standard of service. Many of our clients have been satisfied with our service since the very beginning and many have recommended our service to their friends and relatives.
The Cleaner and ironers are selected by Domestic Cleaning 4u are self-employed and of various nationalities; professional Cleaner carefully selected, vetted, and insured.
BETWEEN
(A) DOMESTIC CLEANING 4U of 8 Hacton Parade, Central Drive, Hornchurch, RM12 6EL (“Domestic Cleaning 4u”) and
(B) THE PAYING CLIENT (the “Client(s)”)
(C) A Cleaner supplied by Domestic Cleaning 4U (“cleaner”)
WHEREBY:
1. Client
The Client agrees to the following:
1.1. To pay Domestic Cleaning 4u a monthly agency fee every month whilst they have a cleaner from us and the cleaner a set hourly rate (minimum of 2 / 3 hours on each visit depending on location).
1.2. To pay Domestic Cleaning 4u by standing order every month (Domestic Cleaning 4u reserve the right to increase the fee subject to a minimum of 30 days’ notice).
1.3. To pay the cleaner direct the 2 hourly or 3 hour plus hourly rate as appropriate on the day of cleaning (or in extraordinary circumstances may be paid within a maximum of 48 hours).
1.4. To pay the cleaner the booked amount of hours unless the hours are changed in advance. This means if you booked 3 hours but then only require 2 hours on the day of the clean you would still pay for 3 hours. Please see Clause 5 and 6 for more details.
1.5. To communicate with Domestic Cleaning 4U by email, SMS, Teams or telephone.
1.5.1. Email: all general communication is done by email.
1.5.2. Texts: are sent to chase up answered emails.
1.5.3. Phone calls only when and immediate response / urgent matter or non-responses to previous emails or texts.
1.5.4. Microsoft Teams for real-time communication between client, cleaner and the office for the purpose of emergency contact only i.e running late, alarms, locked out, short notice cancellation (for which there is a charge). All other communication is done by email.
1.6. To deal directly with Domestic Cleaning 4u with regard to increasing, decreasing or moving the cleaner’s day(s) or hours.
1.7. To communicate with Domestic Cleaning 4U via Microsoft Teams, Email or Telephone. Unless otherwise advised you will automatically be added to Microsoft Teams.
1.8. To supply all the necessary cleaning materials, including fully operational hoover and steam iron (as appropriate).
1.9. To clean and maintain their equipment i.e. hoover, steam mop etc
1.10. To show the Cleaner how their equipment works and where any manuals are.
1.11. Workers should not be asked to clean the exterior of buildings or the exterior of windows -only the interior of buildings.
1.12. To inform Domestic Cleaning 4u of any specialist surfaces i.e. granite, stainless steel, marble, cooper, gold etc.; any fragile possession that should not be touched i.e. collectables clocks, ornaments, pictures etc.
1.11. To notify Domestic Cleaning 4u in writing 30 days before any change of address or bank account
2.3Domestic Cleaning 4u
Domestic Cleaning 4u agrees to the following:
2.1. To supply the client with a cleaner for the duration of the agreement.
2.2. Aims to replace a cleaner within 72 hours (depending on availability) if the cleaner is unavailable (in order for this service to be effective a spare key would need to be held at the office, therefore we would have two keys from the client one held by your regular cleaner and one held at the office in a locked safe)
2.3. To replace the cleaner when she is on holiday (although we cannot guarantee the client will get your usual cleaning day and time).
2.4. Domestic Cleaning 4U will advise the client if they need to change the cleaner. Domestic Cleaning 4U will never send a stranger into a client’s home without the client’s prior knowledge and consent.
3. About Our Cleaner
3.1. A domestic cleaner is someone who will help the client with their daily cleaning chores inside the home such as:
3.1.1. hoovering;
3.1.2. dusting;
3.1.3. polishing;
3.1.4. cleaning inside windows,
3.1.5. cleaning outside windows (ground floor only);
3.1.6. cleaning surfaces,
3.1.7. fridges,
3.1.8. cookers,
3.1.9. floors and

3.1.11. General Tiding up
3.2. The client is responsible for supplying the cleaner clear written instructions on the products the client use and where the client want them to be used.
3.3. How and what is cleaned in the client’s home is the client’s decision and the Cleaner will follow the clients lead as to the client’s requirements.
3.4. The cleaner’s will always do their best no matter what the client ask of them, we would always advise the client to get a specialist in to clean delicate furniture or furnishings.
3.5. The Cleaner is not liable under the following circumstances:
3.5.1. The products the client supplies cause damage to the client’s items.
3.5.2. When the cleaner is following the client’s instruction.
3.5.3. When items break due to natural wear and tear.
3.5.4. When an incident occurs out of their control i.e. wind knocking over a picture frame.
3.5.5. Moving furniture to clean underneath
3.6. The cleaner is liable for damages when they have physically caused the damage i.e. dropping a plate, iron burn on clothes, spilling fluids etc.
3.7. Cleaner’s should not be asked to:
3.7.1. move heavy furnishings;
3.7.2. wash dishes that are more than 24 hours old;
3.7.3. clean chandeliers and very high tops;
3.7.4. dispose of personal hygiene or similar items or
3.7.5. clean outside the building.
3.8. The cleaners are self-employed and therefore if they do not work, they do not get paid and if Domestic Cleaning 4U knows the client does not need them, Domestic Cleaning 4U will pass them other work please see clause 8.2 in regard to payment.
4. Keys
4.1. Should Domestic Cleaning 4U hold keys for the client, then Domestic Cleaning 4U would requires 2 sets (which is optional):
4.1.1. one set is kept with your regular cleaner and
4.1.2. one set is kept in a safe at the office.
4.2. The key in the office is so that Domestic Cleaning 4U can offer a replacement cleaner to the client on short notice, unfortunately if Domestic Cleaning 4U does not hold a key then Domestic Cleaning 4U cannot offer a replacement cleaner within 72 hours of the cleaner being unavailable. Unless the client is at home.
4.3. When the cleaner goes on holiday the keys are automatically returned to the office for safe keeping, if the client does not wish this to happen please advise the office accordingly.
4.4. When the client cancel’s their cleaning contract their cleaner will leave the keys at the client’s premises on their last clean.
4.5. If the client cancel’s their contract and the cleaner does not complete a last clean for the client, then the client will need to collect their keys from the office. Anytime Monday to Friday between 9.30am and 5.30pm.
5. Cancellation / Changing Days and Times
5.1. client
5.1.1. If the client needs to cancel or change their cleaner’s day or time, we do require at least 48 hours’ notice, if it is less than 24 hours’ notice then the client will still be charged for the clean, they would have had.
5.1.2. If the client wishes to delay the start time we do require at least 48 hours’ notice, if it is less than 24 hours’ notice then the client will still be charged from the original start time.
5.1.3. If the client wishes to reduce the cleaners hours we do require at least 48 hours’ notice, if it is less than 24 hours’ notice then the client will still be charged the for the original hours booked.
5.1.4. All Cancellations need to be received on a working weekday by 5pm (Saturdays, Sundays & Bank Holidays not included).
5.1.5. Therefore, if your clean is on a Monday then the cancellation would need to be received by the 5pm on the Friday before.
5.1.6. In addition, any clean that falls on a working day after a bank holiday the client would need to cancel the clean on the last weekday before the bank holiday day.
5.1.7. The office is not open weekends or bank holidays.

5.2. Cleaner
5.2.1. The cleaner needs to give at least 24 to 48 hours’ notice to request to move a client’s usual clean, if the cleaner gives less notice Domestic Cleaning 4U will automatically deny unless its unavoidable.
5.2.2. If the cleaner cancels:
5.2.2.1. due to ill health
5.2.2.2. unable to get to work due to transport
5.2.2.3. will be late
the client will be advised and a replacement cleaner organized (where necessary) as earlier as possible
5.2.3. Domestic Cleaning 4U’s usual procedure when a cleaner cancels is to:
5.2.3.1. check availability of the client’s regular cleaner that week,
5.2.3.2. Offer the client an alternative cleaner, if the regular clean is unavailable
5.2.4. Saturday, Sunday, Bank holiday and Evening clients, will notified of any cancellation but unfortunately a replacement cleaner cannot be organized until the office is open.
6. Start and Finish Times
6.1. If the cleaner is late, we would still expect her to stay the full amount of hours the client(s) are paying for.
6.2. If the cleaner is unable to gain access due to the client(s) error then the cleaner’s time still starts from when the Cleaner should have been able to gain entry access to the property, as the delay is not the Cleaner’s fault.
6.3. The client pays for the hours that the client usual has i.e. if the client usually has 3 hours but if the cleaner leaves early (by their choice) by say 30 minutes then the client would only pay 2.5 hours.
6.4. Likewise, if the Cleaner stays over by 30 minutes then the client would pay the Cleaner the extra 30 minutes, this should be agreed before the cleaner stays longer via the office or with the cleaner directly.
7. Insurance
7.1. We have Employer’s Public Liability Insurance. Please also see clause 3.2 to 3.5.
7.2. There is no cover whatsoever if we have not been paid for every visit the cleaner makes to your home.
7.3. Theft of belongings cannot be and is not covered under our insurance. However, we will do everything in our power to assist the client should this event ever occur.
7.4. In the case of Theft please refer to your home insurance policy which would cover the client. Please note that if theft does occur and the client suspects one of Domestic Cleaning 4U’s cleaners, then Domestic Cleaning 4U will assist the client and the police in whatever action is necessary.
7.5. Domestic Cleaning 4U does not employ people with a criminal record and nor does Domestic Cleaning 4U keep a cleaner who is caught stealing.
7.6. In addition to this if one of Domestic Cleaning 4U’s cleaners is caught stealing, then Domestic Cleaning 4U will pay your insurance excess by way of compensation.
8. Payments
8.1. All payments to Domestic Cleaning 4u are paid monthly.
8.2. In order to guarantee the client the same cleaner, day and time each and every week (as agreed with the client) we do ask that the client continue to pay the cleaner as normal when the client is on holiday or absent for any length of time. Please note this clause is optional, if the client does not pay the cleaner whilst the client is absent Domestic Cleaning 4U does not guarantee the client will get the same cleaner on the client’s return, but we will provide the client with a cleaner.
8.3. Domestic Cleaning 4U has the right to consider the agreement terminated if fees are not received on time.
8.4. We also reserve the right to take legal proceedings against the client for any outstanding debts owed to Domestic Cleaning 4u.
9. Termination
9.1. If at any time within the first 30 days, from the date the cleaner starts to work for the client, the client is not completely satisfied with Domestic Cleaning 4U’s service then the client can cancel with immediate effect.
9.2. After the first 30 days of taking up this contract (from the date the Cleaner first started working for the client) the client may terminate this agreement by writing to Domestic Cleaning 4U at domesticcleaning4u@outlook.com.
9.2.1. Giving not less than 30 days’ notice from when their monthly contract is due to start i.e if you start on the 1st of the month then your contact ends on the last day of the month (i.e 1st January to 31st January)
9.2.2. Therefore to give notice you would give your 30 days notice from the next 1st of the month ie 1st February which means your contract would end on the 28th or 29th February. .
9.3. The only exception to Clause 9.2 is the Yearly contract and the 30 day contract where the terms of termination differ slightly.
9.4. Domestic Cleaning4U may terminate this contract or suspend access to Domestic Cleaning 4U’s services immediately, without prior notice or liability, for any reason whatsoever, including without limitation if the client breaches the Terms and Conditions of this agreement.
9.5. Domestic Cleaning 4U may end this agreement by writing to the client giving the client not less than 30 days’ notice, In respect of bad payees and reserve the right to demand repayment of any outstanding debts on the Account (with interest and charges), or require the client to close the Account at any time and may also refuse to provide the client with our services.
9.6. All provisions of the Terms which by their nature should survive termination shall survive termination, including without limitation, ownership provisions, warranty disclaimers, indemnity and limitations of liability
10. Complaints Procedure
10.1. To make a complaint regarding the cleaner then please call 01708 960714 or email domesticcleaning4u@outlook.com on the day of the clean ideally before the cleaner leaves so that we can rectify the issue immediately.
10.2. Unfortunately, the office is not open on Saturday, Sunday, Bank Holidays or Evenings for complaints, so please email domesticcleaning4u@outlook.com and we will contact the client as soon as the office is open again.
10.3. Alternatively, if the Cleaner is no longer on the premises and or the client is not at home, then if the client wishes to raise a complaint this must be done by telephoning 01708 960714 or emailing domesticcleaning4u@outlook.com the Office within 24 hours of the issue/incident complained of.
10.4. To report a breakage or damage then this needs to be reported by emailing domesticicleaning4u@outlook.com within 24 to 48 hours and must be supported by photographs of the breakage or damage.
11. General
11.1. This agreement is treated as made as soon as we place a cleaner with the client.
11.2. Domestic Cleaning 4U reserves the right to amend the Terms & Conditions as necessary.
11.3. Domestic Cleaning4U try to give a complete service at all times, but we are not liable for delay caused by industrial action, mechanical failure, lockouts. Acts of God, weather conditions, obstruction of any public or private road highway or other events beyond our control.
11.4. Our office must be notified immediately of your change of name or address.

13. General Data Protection Regulation (GDPR)
13.1. At its core, GDPR is a new set of rules designed to give EU citizens more control over their personal data. It aims to simplify the regulatory environment for business so both citizens and businesses in the European Union can fully benefit from the digital economy.
13.2. The reforms are designed to reflect the world we're living in now, and brings laws and obligations - including those around personal data, privacy and consent - across Europe up to speed for the internet-connected age.
13.3. Domestic Cleaning 4U is committed to ensuring your personal data is secure. To prevent unauthorised access or disclosure, we have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect from you.
14. Data Collected:
14.1. In order to administer your account, book appointments and keep you informed of any relevant information. To provide a regular cleaning service, Domestic Cleaning 4U will need to gather and retain potentially sensitive information about your home and homelife This information will only be used to be able to provide you with an appropriate cleaner to meet your needs.
15. Legally:
15.1. The lawful basis under which Domestic Cleaning 4U holds and uses your information is on a legitimate interest in that it is a necessary requirement for me to retain the information in order to provide you with the best possible service.

17. Your contact details are used:

17.2. schedule replacement cleaners
17.3. provide information about our services,

17.5. Client’s Health information will be used for inform the cleaner that works for you so that they are aware in case anything out of the ordinary happens.
17.6. Domestic Cleaning 4U will not share your information with anyone else (other than within Domestic Cleaning 4U or as required for legal process) without explaining why it is necessary and getting your explicit consent.
18. How Long Domestic Cleaning 4U retains the client’s information for:
18.1. Usual keep records for up to 2 years after which they are then destroyed
19. The Client’s Rights:
19.1. The client is entitled to know the following about how the client’s data is used.
19.2. Why Domestic Cleaning 4U is using the client’s data.
19.3. What type/types of data Domestic Cleaning 4U is using
19.4. How long the client’s data will be kept
19.5. Information if Domestic Cleaning 4U is going to transfer your data to third parties, including their names and the reasons for the transfer.
19.6. Information if Domestic Cleaning 4U is going to transfer the data overseas, including the country involved and what will be done with the data.
20. Your information rights.
20.1. Where the data is from.
20.2. If Domestic Cleaning 4U is using the data in profiling (a type of automated processing where your personal data is used to analyse or predict things such as your performance at work, economic situation, health, personal preferences and interests).
20.3. How to contact the organisation.
20.4. Your right to complain to the ICO.
20.5. This is called ‘privacy information’.
20.6. Domestic Cleaning 4U should give you privacy information at the time Domestic Cleaning 4U collect your data. If Domestic Cleaning 4U obtains your data from another source, Domestic Cleaning 4U should provide privacy information within one month. Domestic Cleaning 4U may do so in the form of a privacy notice.
20.7. This is called your ‘right to be informed’.

21. Domestic Cleaning 4U Rights
21.1. If you don’t agree to Domestic Cleaning 4U keeping records of information about you and your cleaning requirements, or if you don’t allow Domestic Cleaning 4U to use the information in the way that Domestic Cleaning 4U needs provide you with a regular, reliable cleaning service then Domestic Cleaning 4U will not be able to provide you with a cleaner.
21.2. Domestic Cleaning 4U has to keep your records for a certain period as described above, which may mean that even if you ask them to erase any details about you, they might have to keep these details until after that period has passed.
21.3. Domestic Cleaning 4U can move your records between computers and IT Systems as long as your details are protected from being seen by others without your permission.

22.1. Unless the Client contacts Domestic Cleaning 4U regarding this document it is assumed that the client agrees to the Terms and conditions of this document.
